Blazescribe ("we," "our," or "us") operates the website at https://blazescribe.com and the Blazescribe application (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

1. Information We Collect

1.1 Account Information

When you create an account, we collect your name, email address, and authentication credentials. If you sign up via a third-party provider (e.g., Google), we receive your name and email from that provider.

1.2 Uploaded Content

When you use Blazescribe to transcribe audio or video, you upload media files to our servers. These files are processed to generate transcripts, summaries, and other content. We store your uploaded files and generated outputs in your account for your access.

1.3 Usage Data

We automatically collect information about how you interact with our Service, including pages visited, features used, timestamps, device information, browser type, operating system, and IP address. We use analytics tools to understand usage patterns and improve the Service.

1.4 Payment Information

If you subscribe to a paid plan, our payment processor collects your billing information (credit card number, billing address). We do not store full payment card details on our servers.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process your audio and video files for transcription and content generation
  • Manage your account, process payments, and communicate with you
  • Send you updates, marketing communications (with your consent), and support responses
  • Detect, prevent, and address fraud, abuse, and technical issues
  • Comply with legal obligations

2.1 We Do Not Train AI Models on Your Content

Your uploaded audio and video, and the transcripts and other outputs generated from them, are not used to train, fine-tune, or otherwise improve any AI or machine-learning model, whether ours or a third party's. They are processed to produce your output, and for nothing else. This matches the licence you grant us in our Terms of Service, which permits us to process, store, and transmit your content solely in order to provide the Service to you.

3. How We Share Your Information

We do not sell your personal information. We may share information with:

  • Service Providers: Third-party vendors who help us operate the Service (cloud hosting, payment processing, analytics, email delivery). These providers are contractually obligated to protect your data.
  • AI Processing Partners: Your audio content may be processed by third-party speech-to-text APIs to generate transcriptions. These partners process data solely to provide the transcription service and are bound by data processing agreements.
  • Legal Requirements: We may disclose information if required by law, court order, or governmental authority, or to protect our rights, safety, or property.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction.

4. Data Storage and Security

Your data is stored on secure cloud infrastructure with encryption at rest (AES-256) and in transit (TLS 1.2+). We implement industry-standard security measures including access controls, monitoring, and regular security assessments. While no method of electronic storage is 100% secure, we strive to protect your information using commercially reasonable means.

4.1 Data Retention

We retain your account data and uploaded content for as long as your account is active. If you delete your account, we will delete your personal data and uploaded files within 30 days, except where retention is required by law or for legitimate business purposes (e.g., fraud prevention).

4.2 File Processing

Uploaded audio and video files are processed on our secure servers and retained in your account until you delete them or close your account. You can delete any file or transcript at any time, which removes it from storage.

5. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access, correct, or delete your personal data
  • Export your data in a portable format
  • Opt out of marketing communications
  • Restrict or object to certain data processing activities
  • Withdraw consent where processing is based on consent

6. Cookies and Tracking

We use cookies in three categories:

  • Strictly necessary. These keep you signed in and keep the Service working. They are always set, because without them the Service cannot function.
  • Analytics. We use PostHog to understand how the Service is used, which includes session recordings of how people move through the product. Input fields are captured, except password fields, which are masked.
  • Advertising and attribution. Google Ads measurement, and a first-party cookie recording where you first arrived from.

If you are in the European Economic Area, the United Kingdom, or Switzerland, we ask for your consent before setting any analytics, advertising, or attribution cookie. Until you accept, none of them are set and PostHog is not loaded at all. Choosing “Decline” means we set none of them; only the strictly necessary cookies remain. Outside those regions, analytics and advertising cookies are set by default and you can block them in your browser settings.

To change your choice, clear the bs_consent cookie for this site in your browser and reload the page. You will be asked again. We re-ask everyone every 180 days regardless.

7. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. We ensure appropriate safeguards are in place for international transfers, including standard contractual clauses where required.

8. Children's Privacy

The Service is not directed to children under 16. We do not knowingly collect personal information from children under 16. If you believe we have collected information from a child under 16, please contact us and we will promptly delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
